The Colorado Association of School Boards was established in 1940 to provide a structure through which school board members could unite in their efforts to promote the interests and welfare of Colorado’s 178 school districts.

CASB represents and advocates for more than 1,000 school board members and superintendents statewide to groups both within and outside the K-12 education community. CASB provides services, information, and training programs to support school board members as they govern their local districts. Membership benefits and solutions are designed to enhance school board effectiveness and help board members increase their knowledge, boost their efficiency, and connect with their communities.

CASB also cultivates relationships with dozens of governing bodies and other education stakeholders—at both the state and national level—to ensure a unified and effective voice and presence on behalf of its members. The association is guided and governed by a 23-member board of directors composed of school board members representing 12 CASB regions across the state.

About the Position

The Event Specialist provides event planning services to CASB members in coordination with the Director of Professional Learning and Events.  The Event Specialist works to conceptualize event themes, prepare and manage event timelines and logistics, coordinate technical aspects for each event and the annual trade show, process registrations and invoices, and align and communicate all event activities with the Communication Specialist.

Job Responsibilities

  • Works with and supports the Director of Professional Learning and Events to gain a complete understanding of the requirements for each CASB event.
  • Organizes and manages logistics and materials for all events.
  • Tracks event expenses and processes event registrations, refunds, and invoices.
  • Provides day-to-day administration of events including:  food/beverage, banquet event order review, monitoring vendors and the event trade show, managing registration, answering questions, resolving issues, and preparation of event name tags, registration lists, seating charts, etc. 
  • Executes pre, during, and post event coordination and logistics, including both on site and in office with a hands on approach.
  • Communicates with all event vendors, speakers, and exhibitors.
  • Maintains inventory of all event materials and requests restock when required.
  • Manages event website details and event applications.
  • Creates publication graphics for all events and interfaces with outside graphic artists, as needed.
  • Maintains CASB database by keeping member information accurate and current.
  • Provides support in the creation and posting of content on the website.
  • Learns new technology and software, as needed, to maintain and update event tools.
  • Assists in the marketing of CASB services.
  • Contributes to team effort by supporting other staff as needed.
  • Completes other tasks, as assigned by the Director of Professional Learning and Events or the Executive Director.

Required Qualifications 

  • Bachelor’s degree.
  • Experience in the hospitality industry and/or event planning.
  • Project management experience with attention to detail, organization of workflow and calendars, verbal and non-verbal communication with highly effective organizational and time management skills.
  • Ability to meet multiple deadline demands with the ability to prioritize and adapt to changing circumstances.
  • Ability to create reports on the success of an event.
  • Flexible team player, even when in high pressure situations or against tight deadlines.
  • Advanced writing, editing, and proof-reading skills.
  • Proficiency working with databases and digital media.
  • A customer-service mindset.
  • Experience in problem solving and decision making.
  • A genuine desire to work with people to improve public education.

Preferred Qualifications 

  • Experience with various communication tools and event tools (e.g. mobile apps).
  • Experience managing multiple concurrent projects and events.
  • Experience with learning management software applications.

Industry: Education
Salary: CASB will offer a competitive salary, commensurate with experience, within the range of $60,000 - $70,000.
